Kids Zone Face Painting High Priority

Details

You will have a designated space with a table and chairs set up for face painting. Please choose a seat and set up your painting supplies there. After each child has had their face painted, encourage them to explore the rest of the Kids Zone. There will be plenty of fun activities for them to enjoy, including inflatables, games, the KickStart car, Dunk a Dentist, photo opportunities, and more!

Your role is to create a fun, engaging, and organized face painting experience while also promoting the other exciting activities in the Kids Zone.

Kids Zone Float Medium Priority

Details

In this role, you will be floating between the various Kids Zone areas, assisting the other volunteers who are overseeing inflatables, games, face painting, and the KickStart car. Your main responsibility is to periodically check in with all the Kids Zone volunteers to ensure they have everything they need and are doing okay. Offer help if needed, whether it’s assisting with children, organizing, or handling any other tasks that come up.

Your role is crucial in maintaining a smooth and safe experience for everyone. Be proactive in ensuring that all children are playing in a safe manner, taking turns, and following the rules. You’ll also help keep the areas organized and clean by assisting with clean-up after children finish playing in each area.

Additionally, encourage families to take advantage of the photo opportunities in the Kids Zone. There will be a photographer available in the photo booth tent, and there are large cutouts of the Healthy Kids Educators, the Dental Bus, and the RFAP logo that make great photo backdrops.

At 10 am, the Kids Zone will close, and the Toddler Trot and Diaper Dash will begin at 10:15. Encourage the younger children in your area to participate, as no registration is required

Kids Zone Kick Start Medium Priority

In the Kids Zone, there are various activities such as games, face painting, a dunk tank, inflatables, and the KickStart car, among others.

Your specific role is to assist the kids and families with the games set up around the KickStart car. The KickStart car is a popular attraction, as it visits several local schools, so many children will be excited to interact with it. You will be responsible for helping children engage with the games, ensuring they are playing safely, and maintaining a sense of order in the area.

Key responsibilities include:
1. Supervising and Guiding: Monitor the games around the KickStart car, ensuring all children are taking turns and playing safely. Be proactive in encouraging fair play and maintaining an organized environment.
2. Safety: Ensure that children follow any rules or guidelines for the games, encouraging respectful behavior and keeping an eye out for any safety concerns.
3. Cleaning and Organizing: After each group of children finishes playing, clean up the area, returning any game pieces or equipment to their proper places and ensuring the space is tidy for the next group.
At 10 am, the Kids Zone will close, and the Toddler Trot and Diaper Dash will begin at 10:15. You can encourage the younger children in your area to participate, as no registration is required. Your support will help create a fun, safe, and engaging experience for everyone!

Kids Zone Games Medium Priority

4. Encouraging Participation: At 10 am, when the Kids Zone closes, the Toddler Trot and Diaper Dash will begin at 10:15. Use this time to encourage younger children in your area to participate in the races. There is no registration required, so feel free to motivate them to join in the fun!

Kids Zone Inflatables Medium Priority

1. Assist with Inflatables:
- Help children and families safely enjoy the inflatables in the Kids Zone.
- Ensure that children play in a safe manner and that there are not too many on the inflatables at one time.
- Make sure children remove their shoes before using the inflatables.
- Monitor the equipment carefully, as these inflatables belong to EIU, and we want to return them in excellent condition.
2. Promote Organization and Safety:
- Keep an eye on the inflatables, making sure the area is organized and that kids are using the equipment properly.
- Assist with crowd control to ensure smooth operation and safety.
3. Encourage Participation in the Toddler Trot and Diaper Dash:
- At 10:00 am, the Kids Zone will close.
- Encourage younger children to participate in the Toddler Trot and Diaper Dash, which begins at 10:15 am.

Course Positions

East Side Entrance Low Priority

Details

You will be positioned at the east entrance of O’Brien Stadium, near Lantz Stadium.
• As participants return to the track, ensure they are entering the stadium and aware of the start/finish line location.
• Direct runners away from the Kids Zone—sometimes participants may mistakenly try to enter there. Make sure they are running in the correct direction.
• Manage non-participants entering the stadium:
o Ensure they are cautious of the runners and staying out of their way.
o Once inside, direct non-participants south through the Kids Zone, or they can use the football field to cross.
• If needed, direct potential participants to the registration area located on the opposite side of the track in the O’Brien parking lot.

Finish Line Assistance High Priority

Your Job:
1. Prepare the Medals:
- Upon arrival, unpack and neatly arrange the medals on the table located at the finish line.
- Ensure the medals are displayed attractively, as participants and their families may take photos.
2. Directing Runners to the Finish Line:
- Assist runners from the larger races (5K and 1 Mile) to stay in the outside lanes of the track to avoid interfering with those finishing.
- Ensure they do not cross the finish line arch prematurely to prevent timing errors.
3. Assign Volunteers:
- Have volunteers to distribute medals, hand out water, and inform participants about available refreshments like chocolate milk and bananas.
- Keep the finish line area clear for photo opportunities. Try not to block participants as they finish.
4. Medal Distribution:
- After runners cross the finish line, hand them their medal based on their race (different colored ribbons will identify races).
- Direct runners to water stations or hand them water as they pass the finish line.
- Remember: Many runners may need to walk a bit after finishing—try to move back from the finish line before handing them medals and water.
5. Water and Refreshment Stations:
- Begin handing out water from the first tub. Once empty, refill, and then move to the second tub, and so on. This ensures water will stay cold for participants.
- Refill water tubs as needed.
6. Assist Exhausted Runners:
- If a runner appears exhausted, offer them a seat or guide them to a bucket if they feel unwell.
7. Cheer on the Runners:
- As participants approach the finish line, cheer loudly to motivate them, saying things like, "Bring it home! You got this! Finish strong!"
- Once runners pass the finish line, place a medal around their neck or hand it to them if they appear too tired.
8. Make it Fun!
- Ensure the atmosphere is encouraging and fun. Be cheerful and loud to help runners feel like the rock stars they are!

a. Race start: 7:50 a.m.
b. Direct participants to continue straight west across the parking lot toward 4th Street.
3. 5K Participants (Red bibs):
a. Race start: 8:15 a.m.
b. Direct participants to continue straight west across the parking lot toward 4th Street.
4. 1-Mile Participants (Blue bibs with #1):
a. Race start: 9:30 a.m.
b. Direct participants to continue straight west across the parking lot toward 4th Street.
c. Once the participants are finished with that section of the route, direct them to head back east into O’Brien Stadium.
5. Returning 10K and 5K Participants:
a. Direct participants heading south to turn and head east back into O’Brien Stadium.

3. 1 Mile Participants (Blue bibs with #1):
a. Race start: 9:30 a.m.

1. The first group of participants you will direct are the 10K runners, identifiable by their black bib numbers. Their race starts at 7:50 AM, and they will approach your station from the west. Direct them to continue heading east along Roosevelt Dr.
2. After that, the 5K participants will arrive, wearing red bibs. Their race starts at 8:15 AM, and they will come from the north. Your task is to direct them south along 9th Street.
3. Keep in mind that both the 10K and 5K runners will not pass by your station again on their return leg.

1. 10K Participants (black bib numbers):
The first runners you will see are the 10K participants. Their race begins at 7:50 AM, and they will be coming from the north. Direct them to turn east onto Woodlawn Drive.
2. 5K Participants (red bib numbers):
The next group to pass will be the 5K participants. Their race starts at 8:15 AM, and they will be heading toward you from the north. Guide them south down 9th Street.
3. 10K Return:
After completing their route, the 10K participants will be heading back your way from the east. Direct them to continue east down 8th Street.
4. 5K Return:
5K participants will not pass your station again on their return leg, so be prepared to help only during their initial run down 9th Street.

1. Packet Pickup Location:
a. The packet pickup area will be located near the new registrations, next to the concession stand at O'Brien Stadium.
b. A registration greeter will be directing participants to either the packet pickup or race sign-up area.
2. Pre-Registered Participants:
a. Direct all pre-registered participants to the packet pickup area.
b. Ask each participant for their name and the race they’re participating in. You will need to verify their shirt size and if they receive a shirt (if they signed up before the deadline, they DO get a shirt in their packet. Unfortunately, if they didn’t sign up prior to the shirt deadline, they are not guaranteed a shirt, but can check back AFTER the race is finished to see if there are any extras).
c. Ensure the participant understands the contents of the packet, and remind them to handle it carefully, as the pins are at the bottom of the packet.
3. Ensure participants have bibs assigned to them. When giving the participant their packet, be sure to write down the bib number do the data entry volunteer can enter their bib assignment later.

Billy the Panther High Priority

Your Job:
1. Pick Up Costume: Retrieve the Billy the Panther costume from Miranda on Friday or the morning of the event.
2. Arrive at O’Brien Stadium: Change in the restrooms near the registration area.
3. Interact with Participants: Walk around the Kids Zone, take pictures, and engage with participants. You can also visit the photobooth and award tent for more photo opportunities.
4. Finish Line: Join the finish line and give “high fives” to participants as they cross. Remember, Billy doesn’t need to speak!
5. Cheer on Participants: Around 10 am, head to the 50-yard line for the Toddler Trot and Diaper Dash to cheer on the participants.
6. Assistant Support: Since the costume can be challenging to see through, an assistant will help guide you throughout the day, ensuring your safety and directing you where to go.

You will be accompanying Billy the Panther during the event. Since visibility is limited in the Billy costume, please assist him in navigating by alerting him to any approaching children, obstacles in his path, or people who want to take photos. Billy is not required to speak, so you may need to step in as his voice when needed. :)
At around 10 a.m., we will be kicking off the Toddler Trot and Diaper Dash at the 50-yard line. Please make sure to head over to that area to cheer on the little participants!

• Arrival and Setup: Once you arrive at your station, you’ll be provided with a laptop. If you're unfamiliar with the race’s awards system, please ask Miranda, the volunteer coordinator, or Harley Powley.

• Medallions: Medallions will be available to award winners. You will distribute these to racers who have earned a prize.

• Checking Results: After participants finish their races, they will come to you to check their times and see if they've won an award. One volunteer will ask for the participant’s name and use the laptop to verify their time. The system will indicate if the participant has won an award. Note that participants also received a QR code in their participant packs to check their times independently.

• Award Criteria: Medallions will be awarded to:
• 1st, 2nd, or 3rd place finishers in each age category (Male and Female).
• 1st, 2nd, or 3rd place overall finishers (Male and Female) for their race.

Course Set-Up and Tear Down

1. You will assist with loading the dental transport bus and breaking down various event setups after the race. The bus will be parked in front of the registration area, just outside the stadium.

2. Registration Materials:
a. Begin at 9:45 am by loading boxes of registration materials and t-shirts from the registration area onto the transport bus.

3. Sign Removal:
a. Around 10:00 am, take down all signs around the track and load them onto the transport. Bring scissors for signs secured with zip ties.
b. Confirm with the race director that all runners have finished before taking down signs.

4. Kids Zone Setup:
a. After the Toddler Trot and Diaper Dash (around 10:15 am), move all tables and chairs from the Kids Zone and finish line into the registration area for later pick-up.

5. Tent Breakdown:
a. Once participants have finished (around 10:30 am), begin tearing down tents in the stadium area.

6. Refreshments Cleanup:
a. Empty the water and ice from the troughs. If boxes or bags are available, place the water bottles in them and load onto the transport bus. Gather any snacks in bags or boxes and load them onto the transport bus.
b. Move the empty troughs into the registration area. Ensure that all runners have completed the race before proceeding.

7. Medal Pickup:
a. Collect all leftover medals and place them on the transport bus.

8. After Loading the Transport Bus, follow the transport bus to SBL Healthy Communities at 102 W. Buchanan St. to unload. This location is next to the new Sonic and beside SBL Charleston Family Practice.

4. Water Troughs & Ice Setup:
a. Where to Find: Water troughs are in the registration area.
b. What to Do: Transport the troughs to just beyond the finish line.
c. Ice Delivery: Around 7 am, ice will be delivered. Load the ice onto the John Deere Gator and transport it to the finish line.
d. Action: Fill the troughs with a layer of ice followed by a layer of water bottles, etc.

5. Snacks and Chocolate Milk Delivery:
a. What to Do:
i. Around 7 am, snacks will be delivered. Transport these to the finish line and lay them out on the table near the finish line.
ii. Chocolate milk will also be delivered around 7 am. Transport it to a separate trough near the finish line. As with the water, layer the ice first and then pour in the milk cartons.

While Waiting for Deliveries:
6. Help with Kids Zone Setup: If there's time before the deliveries arrive, assist with setting up the Kids Zone area.
a. Check that tables and chairs are set up according to the Kids Zone map.
b. Set up the First Aid Tent, Dental Tent, Photobooth Tent, and Volunteer Tent, making sure all tents are positioned correctly.

7. Coordinate with Other Volunteers: Check in with other volunteers, offering assistance with their tasks if needed.

Upon arrival, head to O’Brien Stadium, specifically in front of the registration area. Tables, chairs, and tents will be ready for you nearby the concession stand area.

1. Finish Line Setup:
a. Location: Tables will need to be placed near the finish line. Refer to your map for the exact placement.
b. Task: Arrange the tables for handing out medals and bananas to participants as they cross the finish line. Double-check that you have the correct number of tables and that they are in position.

2. Tent Setup and Weighting:
a. Location: Tents will need to be set up in various locations across the event space.
b. Task: You’ll use weights to hold down the tents. Fill these weights with water using the hose provided in the registration area. Once the weights are filled, place them under or on the tents to ensure they stay securely in place. Make sure you are familiar with where each tent is being placed and how many weights are needed.

3. Kids Zone Setup:
a. Location: You will set up tables, chairs, and tents in the Kids Zone area. Refer to your Kids Zone map to know exactly where everything should go.
b. Key Areas in Kids Zone:
i. Face Painting Table: Set up the tables and chairs specifically for the face painting activity.
ii. Tents: Ensure the following tents are in place, according to your map:
1. Photo Booth Tent
2. First Aid Tent
