Details

Help with set up, participant flow, and finish line support at the start/finish line area. Volunteers in this role should arrive at 3:45 PM to check in at volunteer check-in, then head to the start/finish line to begin set up.

Set Up:
Help set up tables, water in coolers, snacks, ice packs in ice water in a cooler, medals, and drink cups with drink tickets.

Starting the Race:
As participants line up and the race begins, please stay clear of the starting area so runners can move safely and easily.

During the Race:
While participants are out on the course, help keep the area organized. Please keep medals and drink cups with drink tickets with the volunteer team and monitor the table so items stay in place until they are needed.

Finish Line:
As participants come through the finish line, help pass out medals, cups, and other items. Please stand to the side and stay out of the way of runners and walkers crossing the finish line. Do not stand directly in front of participants coming through the finish.

Clean Up:
After all participants have finished, help pack up any leftover items and return them to the Evie Effect booth next to volunteer check-in. Please also help pick up trash and leave the area clean.

After signing in at volunteer check-in, please check in with Austin McFarland or Kristopher Newman, Start/Finish Line Volunteer Leads.

Location

Start at Volunteer Check-In, then head to the start/finish line at the back of the brewery.

Cleanup Crew Medium Priority

You must be 18 or older to volunteer for this task.

Details

Help clean up the event area after the race and after-run activities. Volunteers in this role should check in at The Evie Effect booth by 8:30 PM.

Cleanup Crew will help sponsors and nonprofit resource partners tear down, pack up, and load their vehicles. Volunteers will also assist The Evie Effect with packing up event supplies and loading the van.

Please help make sure all trash is picked up and the area is left clean so there is no trace of the event when we leave the venue.

After arriving, please check in with Heather Spann or Jessica Domingos.

Location

Check in at The Evie Effect booth (next to the pavilion door) by 8:30 PM. From there, you will be directed to the areas that need cleanup and pack-out support.

Sponsor Concierge/Floater Low Priority

You must be 18 or older to volunteer for this task.

Help support event sponsors throughout the evening while also serving as a floater where needed. Volunteers in this role may help deliver water or other essentials to sponsors and assist with additional tasks as assigned during the event.

If any sponsor needs something that requires more support, please notify Heather Spann. After signing in at volunteer check-in, please check in with Heather Spann for instructions.

Set Up Crew Medium Priority

Details

Help get the event set up and ready before participants, sponsors, and volunteers arrive. Volunteers in this role should check in at The Evie Effect booth by 2:00 PM.

Set Up Crew will help with unloading supplies, setting up tables, tents, signage, and other event materials, and making sure different areas are ready for the evening. Volunteers may also assist sponsors and nonprofit resource partners as they get set up.

After arriving, please check in with Heather Spann or Jessica Domingos.

On-Course

Hydration Station High Priority

You must be 18 or older to volunteer for this task.

Details

Help create a fun and supportive atmosphere along the course by cheering on runners and walkers from your assigned spot. Volunteers in this role are welcome to make and bring their own positive signs to help celebrate participants along the way.

Please check in by 4:30 PM and be in place by 5:15 PM. This helps us get volunteers into position before the Kids Dash and participant check-in become busy. If you’d be more comfortable, feel free to bring your own chair. This role is outdoors, so dress accordingly.

After signing in at volunteer check-in, please check in with Heather Spann, Cheer Squad Volunteer Lead.
Because participants may be moving quickly, volunteers will need to stay alert, have bottles ready, and be careful to stay out of the way of the course. Volunteers at this station will also help cheer participants on and clean up empty bottles and caps left behind.

Please stay at your station until police have swept the first half of the route and all participants have gone by. Before leaving, make sure the area is cleaned up, then return to True Vine to check out.

Since this is our only hydration station, we will have a larger group of volunteers there to help things run smoothly. Please check in with Ty Browning, Hydration Station Lead.

Location

Tyler ISD DAEP, corner of Conally Rd. and Gaston Avenue

You may park at the school or on the side street off Gaston. Please do not park on Conally Rd, so we can leave plenty of room for runners.

Cheer Squad and Sign Holders High Priority

You’ll need to be in place by 5:30 PM. If you’d be more comfortable, feel free to bring your own chair. This role is outdoors, so dress accordingly.

Kids Dash Hydration High Priority

Details

Help support our Kids Dash participants by working at the Kids Dash hydration station. Volunteers in this role should arrive no later than 4:00 PM to check in at volunteer check-in and be in place and set up by 4:45 PM. The Kids Dash begins at 5:00 PM.

After signing in, please check in with Austin McFarland or Kristopher Newman, Kids Dash Hydration Volunteer Leads, at the start/finish line.

Once the final child passes the hydration station, you may tear down the station and return any leftover items to the finish line. If the 5K has started, please be careful to stay out of the way of participants.
