20th Annual Wild West Relay

• Direct drivers into Exchanges and where to park to reduce vehicle congestion.
• Record baton exchange times on Exchange Time Records.
• Record rule violations on Exchange Time Records.
• Instruct runners/spectators to remain off roads and away from Runner Exchange Areas.
• Allow only Active Vans to park in Exchanges.
• Request quiet at night near residential areas.
• Keep Exchanges clean and encourage participants to do the same.
• Each Volunteer shift is 4-6 hours 

VOLUNTEER ROLES:

TIMER AND RUNNER EXCHANGE AREA MONITOR:

• Mark the Runner Exchange Area with two cones (see drawing of Exchange Map)
• Record Runner Exchange Times and incidents on Exchange Time Records.
• Prevents runners from being forced onto the road by spectators obstructing the shoulder.
• Ensure that only outgoing runners wait near Runner Exchange Areas. Notify outgoing runners of problems.
• Request quiet at night near residential areas.

SPOTTER:

• Places themselves approximately 50 yards before the exchange and calls out the bib number of the approaching runner which notifies that team's next runner so they can enter the Runner Exchange Areas.

PARKING MONITOR:

• You will be supplied with either a bright red flag (daytime) or a red lighted baton (night) to direct traffic.
• Proactively direct vans to park in designated areas so that the available space is used efficiently.
• Do not allow vans to block or force runners onto the road by obstructing the shoulder. Vans may not park for 500 feet BEFORE Exchanges so incoming runners may view outgoing runners.
• Allow only Active Vans to park in Exchanges. Both team vans may park in Van Exchanges (6, 12, 18, 24, 30).
• All volunteers share in picking up an trash and keeping their exchange clean.

BEFORE THE RELAY:

1. Sign up for your volunteer location online at the Volunteer Sign Up tab once it becomes active three weeks prior to the WWR - date and time will be announced shortly after registration closes three weeks before the relay (first come first serve).
2. Download your Exchange Information from your race's website.
3. Figure out how to get to your exchange location and how long it will take in advance so you won't be late and cause your team to be accessed a time penalty or be disqualified.

VOLUNTEER RACE DAY:

WHAT TO BRING:

• Watch
• Hat, sunscreen, sunglasses
• Water, food
• Chair, tables, large umbrella/pop-up canopy, binoculars (all optional)
• 2-way radios (optional but very handy for the spotter and timer to communicate)
• Boom box if appropriate for the area (not a quiet zone due to time of night and local residences)
• Clothing appropriate for the weather

AT NIGHT ALSO BRING:

• Flashlight and extra batteries, lantern (large lights are ideal)
• Light colored clothing
• Warm clothing, hat, gloves if appropriate for the weather
• Hat or visor (useful to reduce glare of vehicle headlights)

PLEASE DO NOT BRING:

• Alcohol (you will be sent home and the team you represent disqualified)
• Children
• Headphones
• Pets

THE RELAY WILL PROVIDE:

• Volunteer T-shirt
• Volunteer Handbook that includes the relay rules that you will be able to download before race day
• Two cones to mark the Baton Exchange Area
• Garbage cans and bags
• Red flag or red light for the parking monitors to use to direct traffic
• Exchange Time Record, clipboard and pen
• Portable toilets at the exchanges
• Forms to report rule violations

EXCHANGE CLOSURE:
Do not leave the Exchange until the next shift arrives or your Zone Coordinator or Sweep Truck confirms that the last runner has passed.
Clean the Exchange and bag the trash so that we will be allowed to use the site in future years.
Return legible and completed Exchange Time Record, clipboard and cones to the sweep vehicle.
